Downloading and Understanding Financial Reports

PheedLoop’s Data & Reports are an essential tool when it comes to extracting information regarding finances throughout your event. It may be daunting at first, but understanding each financial-related report type and its capabilities of pulling specific data will allow you to make the most of what Data & Reports can accomplish.

How to Access/Download Custom Reports

  1. From the Event Dashboard, navigate to Data & Reports > Custom Reports
  2. Select a custom report you would like to download from the list
  3. Above the custom report table, select Actions > Generate Report
  4. Select Download Previous Report
    1. Depending on the size of the report you may need to refresh your browser for this button to appear beside the custom report in the list.

Types of Financial Reports

Registration Data Report

Report Type: Registrations

Purpose: The registration report extracts information from the registration flow in your event. 

Important Fields: Payment Method, Registration ID, Purchases, Form, Invoice/Receipt, Charge IDs, Status, Payment Total

Use Case: Whether you need attendee information, payment data regarding their ticket purchases, or registration information specifically for one category of stakeholder the registration report has the capability to extract this. 

This report is the best report to use when reconciling registrations and finances related to registrations. The Charge ID represents the unique identifier that you can use to cross reference payments within your payment processor. This report will also contain the answers to the questions asked in the custom form associated to the registration category.

Fill out the Registration Category field if you want to specific the registration report to one category. You can also select individual categories to display in the Registration Category field. This creates an individual sheet for each category. Leave the Registration Category field blank to not filter results. Fill out the Start Date and End Date if you want to specify the data to only a specific time period.

Ticket Data Report

Report Type: Ticket Purchases

Purpose: The ticket report extracts information regarding ticketing data, ticketing purchases, and attendee information regarding the tickets they have purchased.

Important Fields: Purchase ID, Ticket Holder, Ticket Code, Guest Purchase, Ticket Sub Categories, Attendee - Code, Form

Use Case: This report is best used if you are looking to see all of your ticket holders in one single report. You can also use this report to see the individual answers to a ticket form.

Fill out the Tickets field to choose one ticket that the report will extract data from, leaving this blank will not filter results to one ticket only. Fill out Start Date and End Date for a particular period of time regarding ticket purchases.

Payment Data Report

Report Type: Payments

Purpose: The payment report extracts information regarding payment data specifically. Whether you are an exhibitor purchasing a booth or just an attendee paying for tickets, this report will be directly related to payments.

Important Fields: Payment ID, Fees, Tax, Sub Total, Deposit, Verified, Gateway, Date Due, Parent, Owner Address, Category

Use Case: If you are looking for a report that contains all financial transactions in your event such as Registrations or Exhibitor Applications - this is the report for you.

Refund Report

Report Type: Refunds

Purpose: The refund report is focused on refunds you have sent to any attendees.

Important Fields: Payment Code, Refund ID, Amount, Method, Gateway, Date Created, Parent

Use Case: Unlike the payment data report, the refund report is specifically curated on refunds which can be issued to anybody in your event. If you need proof of refunds and the data related to any refunds, this would be the report to capitalize on.

Transaction Data Report

Report Type: Transactions

Purpose: The transaction data report is a combination of both the payment data report and the refund report in one report.

Important Fields: Transaction Type, Payment Code, Refund ID, Date Created, Amount, Method, Payment - Code, Payment - Total, Refund - Code, Refund - Amount

Use Case: If you need a report with bulk data from both payments and refunds in one place.

Sponsor Data Report

Report Type: Sponsors

Purpose: The sponsor data report is specifically designed to extract information only regarding sponsors at your event.

Important Fields: Name, Slug, Internal Code, Date Applied, Date Approved, Purchases, Tiers, Payment ID, Purchase Total, Refund Total, Portal Link, Primary Contact, Application Form 

Use Case: If you need a one-stop-shop for all data related to sponsors in your event, this sponsor data report is the report to download. This data report has payment data and regular information related to sponsors.

Exhibitor Data Report

Report Type: Exhibitors

Purpose: The exhibitor data report is specifically designed to extract information only regarding exhibitors at your event.

Important Fields: Name, Slug, Keywords, Services, Products, Purchases, Payment ID, Purchase Total, Refund Total, Primary Contact, Application Form, Itemized Purchases, Average Time in Virtual Booth per Attendee (s), Unique Visitors, Booths

Use Case: If you need a one-stop-shop for all data related to exhibitors in your event, this exhibitor data report is the report to download. This data report has payment data and regular information related to exhibitors. Fill out Start Date and End Date for a particular period of time related to your exhibitors (useful if you want to combine this with the Average Time in Virtual Booth per Attendee (s) field).

Promo Code Report

Report Type: Promotions

Purpose: The promo code report is specifically designed to extract information only regarding promotional codes created for your event.

Important Fields: Code, Promotion Code, Stakeholder Code, Promotion Code Name, Amount, Date Applied

Use Case: If you are looking for a report that showcases all promo codes. This data report has information on all of the promo code details along with when they were applied, what they were applied to, and the total after application.
