Enabling Lead Retrieval and Live Video Booth for Exhibitors in a Virtual Event

The lead retrieval and video booth combination is an add-on you can apply per exhibitor at a standard rate of $99 / exhibitor. This feature is called Premium Exhibitor Booth in PheedLoop’s dashboard. Exhibitors can apply this to their accounts on their own via the exhibitor portals, or you can purchase the credits from yours admin account to enable for them:

  1. From the drop-down menu at the top right corner of your Dashboard, navigate to Settings > Account & Billing > General Credits
  1. Enter the quantity under Add Premium Exhibit Booth Credits
  2. Select Pay
  3. Enter your credit card information
  4. Select Confirm and Pay

Once purchased, you can enable these credits from the Event Dashboard.

  1. From the Event Dashboard, navigate to Exhibitors > Exhibitors
  2. Select the checkbox of the Exhibitor you want to adjust from the list
  3. Above the Exhibitor table select Enable Premium Booth

Events choose the former option if they prefer the convenience of letting exhibitors make their own decision. The latter is ideal for if they want more control over their Exhibit Hall and are including (or marking up) the $99 fee in a larger exhibitor or sponsorship package.

What is Lead Retrieval?

Lead retrieval is a feature that is designed to help exhibitors capture contact information from attendees on-site or virtually. On-site, they would use the PheedLoop mobile app on an Android or iOS device to scan a QR code (generated via PheedLoop as well). For virtual events, attendees would submit a request for information by clicking on the Request Information button on their Exhibitor Profile. For hybrid events, both on-site and virtual leads are combined in one easy to access interface inside the exhibitor's private portal.

How does lead retrieval work for a virtual event?

Exhibitor lead retrieval allows attendees visiting booths to send requests for information with a single click. Doing this populates the exhibiting organization's list of captured leads with that attendee's contact information along with any optional notes the attendee submits. Exhibitors can download this information at any time via their private exhibitor portals from the Lead Retrieval section.

Requesting information, from the attendee's perspective, can be done by:

  1. From the Virtual Event Portal, navigate to Exhibit Hall
  2. Select the Exhibitor you wish to request information from
  3. Select the Request Information button
  4. Optionally, add a message to go along with the request
  5. Select Submit

Please note Event Organizers can set restrictions to this feature to make it so that only attendees who have submitted lead information can download exhibitor files.

  1. From the Event Dashboard, navigate to Exhibitors > Settings
  2. Scroll down to General Settings and toggle off the File Download Lead Capture checkbox

If the attendee has any files uploaded to their profile in the Account section of the Virtual Portal, they can optionally include those files in their requests as well. This is useful for events such as career fairs where attendees may be submitting resumes to exhibitors/employers.

Downloading Lead Retrieval Information

As an event admin, Lead Retrieval information can be obtained from your Event Dashboard.

  1. From the Event Dashboard, navigate to Data & Reports > Custom Reports
  2. Above the Reports table, select Create
  3. Under Report Type field, select Exhibitor Leads
  4. Select Save Changes

As an Exhibitor, you are able to download your Lead Retrieval results directly from your Exhibitor Portal. 

  1. From the Exhibitor Portal, navigate to the Lead Retrieval tab
  2. Click on Actions > Download CSV

What's included for free?

Even without lead retrieval activated, exhibitors can still see the list of attendees who visited their booth in real-time from the Virtual Portal under Networking > Booth. This list does not include contact information the way the lead retrieval add-on does, but it does show who visited the booth. This does not guarantee that they are a lead - only that they visited and how long ago. It's up to the exhibitor to proactively reach out and start a conversation over text or video.

You, as the event organizer, can download a report summarizing virtual booth visitor data for all exhibitors in aggregate, and for each exhibitor.

  1. From the Event Dashboard, navigate to Data & Reports > Custom Reports
  2. Above the Reports table, select Create
  3. Under Report Type field, select Exhibitor Virtual Attendance
  4. Select Save Changes

What is a Live Video Booth?

The live video booth is a powerful feature that transforms an exhibitor's virtual booth from a static experience to a hostable live meeting at their booth. Even without this feature, they can still host private one-on-one video meetings and attach pre-recorded video content to their booths. The main benefit of live video booths is that they allow them to host a large number of people in public demos, questions/answers, and replicate the face to face instant availability exhibitors are so used to. Up to 25 people can join a live video booth at any given time, and it supports both video and screen sharing. No additional plugins or downloads required, it's built right into PheedLoop and leverages the PheedLoop Meet video conferencing platform.

Attendees simply click on an exhibitor's Join Live button in the Exhibit Hall, which allows them to select their audio/video devices, and join the group meeting at the booth itself. As the event organizer, you can set when live video booths are available for attendees and exhibitors:

  1. From the Event Dashboard, navigate to Experiences > Virtual > Settings
  2. Scroll down to Options and toggle on the Enable Video Booths checkbox
  3. Select Save Changes

Name: The full name of the lead

Title: The title of the lead

Organization: The organization of the lead

Email: The email address of the lead

Phone: The phone number associated with the lead

Website: The personal website linked to the lead

LinkedIn: The LinkedIn profile of the lead

Twitter: The Twitter profile of the lead

Address line 1: The first line of address associated to the lead

Address line 2: The second line of address associated to the lead

City: The city associated to the lead

State: The state associated to the lead

Zip: The zip-code associated with the lead

Country: The country associated with the lead

Date Captured: The capture date of the lead's information

Captured by Manager: The exhibitor booth's manager that captured the lead

Rating Budget: The Rating Budget the exhibitor assigned to the lead

Rating Authority: The Rating Authority the exhibitor manager assigned to the lead

Rating Need: The Rating Need the exhibitor manager assigned to the lead
