Approving and Displaying Session Files
Files can be added to sessions to be shared with Attendees. Once uploaded and displayed, the files will be viewable on the OnSite app, Virtual Portal, PheedLoop Go!, and in the Event Website if configured.
Session Files can be added from the Event Dashboard and Speaker Portal.
To upload files on the Event Dashboard
- From the Event Dashboard, navigate to Sessions > Sessions
- Select the Session you wish to edit
- Navigate to the Files tab
- Under the Add New File section, select Choose File to upload your file
- Under the Description field enter a name for the file
- Toggle on the Private File checkbox to hide the file from all front end portals
- Please note, files will still be visible in the Speaker Portal.
- Select Upload
To upload files on the Speaker Portal
- From the Speaker Portal, navigate to the Sessions page
- Select the Session you wish to upload files for
- Navigate to Session Files
- Select Choose File to upload
- Enter a name under Description
- Optionally, toggle on the Is Private checkbox to make this file hidden from public view. Please note, the file is still viewable in the OnSite app.
- Select Add File
Moderating Session Files Submitted by Speakers
As an Event Administrator, you are able to monitor and approve session files submitted by Speakers. If enabled, any files uploaded by Speakers will require approval from an Event Administrator before being visible to Attendees.
- From the Event Dashboard, navigate to Speakers > Portal
- Scroll down to Session Settings
- Toggle on the Require Approval for Session Files checkbox
- Select Save Changes
Once enabled, all session files will require approval from the Event Dashboard before they can be visible to attendees.

Reviewing Session Files
All sessions files can be reviewed from the Event Dashboard.
- From the Event Dashboard, navigate to Sessions > Sessions
- Select the session you wish to review files for
- Navigate to the Files tab
- Select Download File to download the files onto your device
Approving Session Files
Once reviewed, session files can be approved by an Event Administrator.
- From the Event Dashboard, navigate to Sessions > Files
- Select the Session FIle you wish to approve from the list
- Ensure the Private File checkbox is toggled off
- Toggle on the Approved checkbox
- Select Save Changes
Alternatively, session files can be approved from the session.
- From the Event Dashboard, navigate to Sessions > Sessions
- Select the session you wish to accept files for
- Navigate to the Files tab
- Select Edit next to the session file(s)
- Ensure the Private File checkbox is toggled off
- Toggle on the Approved checkbox
- Select Save Changes
A session file will be hidden from attendees if it has a status reading Pending. If you would like to hide a session file, ensure the Approved checkbox is toggled off. Alternatively, you can approve the file but mark it as a private file to hide it while marking it as Approved.
Deleting Session Files from the Event Dashboard
Session Files can be removed if they are no longer required.
- From the Event Dashboard, navigate to Sessions > Files
- Select the checkbox of the Session FIle you wish to remove
- Above the Files tables, select Actions > Delete
- Select Confirm
An option can also be found for the session in the session itself.
- From the Event Dashboard, navigate to Sessions > Sessions
- Select the session you wish to accept files for
- Navigate to the Files tab
- Select Delete next to the session file(s)
- Select Confirm
Deleting Session Files from the Speaker Portal
- From the Speaker Portal, navigate to Sessions
- Select the session you wish to edit
- Navigate to the Session Files tab
- Select the session file you wish to remove
- Select Delete
- A confirmation message will appear, select Delete again to confirm deletion
