How do I make Tickets available to select registrants?

Event organizers may have specific tickets that should only be accessible to select individuals, such as VIP guests or discounted tickets. This article will review how this can be achieved and how you can share access via a specific URL/link and/or gate access with a code.

If you are looking to restrict access to an entire category, please review our How do I hide a Registration Category and accessible to only those with the specific URL/link? article.

Option 1: Sharing Access to Protected Tickets via URL/Link

The first option to restricting tickets to specific registrants is using PheedLoop’s Protected Ticket functionality, which removes your ticket from being visible on the public registration flow and instead ensures that the ticket is only visible and accessible via a specific URL/link.

  1. From the Event Dashboard, navigate to Registration > Tickets and select the ticket you would like to adjust from the list

  1. Scroll down to Privacy and toggle on the Protected Ticket checkbox

  1. Select the Access Link button to access the URL/Link that can be distributed to registrants
    1. Please note that there are multiple links for each category that the ticket is connected to under Basic Details > Registration Category.

  1. Select Save Changes

Sometimes event organizers want to give registrants the ability to purchase different protected tickets without needing to use multiple access links. The steps to do this may appear complicated but are simple once we understand how an access link functions.

In any given access link, there are three variables to consider: the event code, the ticket code, and the category code. Each access link is unique but will generally follow this pattern:

https://site.pheedloop.com/event/[EVENT CODE HERE]/register/?tickets=[TICKET CODE HERE]&category=[CATEGORY CODE HERE]

The first step will be to get the Access Link through the steps above. Once that’s done, you will want to get the ticket code from the other protected tickets. This can be done through two methods:

Method A: Downloading the Ticket CSV File

  1. From the Event Dashboard, navigate to Registration > Tickets and select the Download CSV button, this is shown by the arrow icon pointing down

  1. Once the CSV file has been downloaded open it
  2. Copy the code from the Code column

  1. From the Event Dashboard, navigate to Registration > Tickets and select the ticket you would like to adjust from the list

  1. Scroll down to Privacy and select Access Link

  1. Copy the ticket code within the access link
    1. This is shown by the letters TIC followed by the unique code associated with the protected ticket.

Once the ticket code is copied, the next step is to separate the ticket codes in the access link with a dash (‘-’). The access link should look something like this:

https://site.pheedloop.com/event/[EVENT CODE HERE]/register/?tickets=[TICKET CODE HERE]-[TICKET CODE HERE]&category=[CATEGORY CODE HERE]

The more ticket codes you attach to the access link, the more tickets will be available to purchase at checkout.

Option 2: Gating Access to Private Tickets via Access Code

The second option to restricting tickets to specific registrants is using PheedLoop’s Private Ticket functionality, which allows your ticket to be visible in the public registration flow, however, registrants will not be able to purchase the ticket without inputting the required access code.

  1. From the Event Dashboard, navigate to Registration > Tickets and select the ticket you would like to adjust from the list

  1. Scroll down to Privacy and toggle on the Private Ticket checkbox

  1. Under the Private Access Codes field, enter the code registrants need to enter to purchase the ticket
    1. You can add multiple codes by separating them with commas in the field

  1. Select Save Changes

Conclusion

Ensuring that specific tickets are accessible only to select individuals is a crucial aspect of managing event registration effectively. By leveraging PheedLoop's Protected Ticket and Private Ticket functionalities, event organizers can maintain control over ticket visibility and accessibility. Whether sharing tickets through a dedicated URL/link or gating access via an access code, these tools provide flexibility and security to tailor the registration experience to specific needs.
