Editing and Managing the Exhibitor Portal

The Exhibitor Portal serves as a centralized hub where Exhibitors can personalize and manage their event experience. It offers flexibility, customization, and a range of useful features. Both the Primary Contact and Managers can access their Exhibitor Portal once their Exhibitor profile has been added to the Event Dashboard.

The Exhibitor Portal is also necessary for the use of Lead Retrieval, as it is the main hub where all lead data is stored. Exhibitors should be familiar with navigating the portal to export their lead retrieval results and access detailed reports.

How to Edit the Exhibitor Portal

Before sharing access to the Exhibitor Portal, Event Administrators should be aware that specific pages and sections can be hidden or locked to prevent edits. This is useful for Event Admins who may wish to display certain information to Exhibitors without allowing them to make any changes.

To find these settings, follow these steps:

  1. From the Event Dashboard, navigate to Portals > Exhibitor > Exhibitor Portal

From here, Event Administrators can manage all the settings for the Exhibitor Portal.

How to Hide Pages

Each page of the Exhibitor Portal can be hidden under this section.

Hide Information Page This will hide the Information page in the Exhibitor Portal.
Hide Profile Page This will hide the Profile page in the Exhibitor Portal.
Hide Announcements Page This will hide the Announcements page in the Exhibitor Portal.
Hide Manages & Tickets Page This will hide the Managers & Tickets page in the Exhibitor Portal.
Hide Lead Retrieval Page This will hide the Lead Retrieval page in the Exhibitor Portal.
Hide Files Upload Page This will hide the Files page in the Exhibitor Portal.
Hide Design Page This will hide the Design page in the Exhibitor Portal.
Hide Floor Plan Page This will hide the Floor Plans page in the Exhibitor Portal.
Hide Assigned Tasks Page This will hide the Task Assignments page in the Exhibitor Portal.
Hide Purchases Page This will hide the Purchases and Contract page in the Exhibitor Portal.
Hide Meetings Page This will hide the Meetings page in the Exhibitor Portal.
Hide Advanced Exhibitor Upgrade Page This will hide all references to the Advanced Exhibitor Upgrade in the Exhibitor Portal. 

How to Disable Profile Edits

The permission for Exhibitors to edit their profile details can be enabled or disabled under this section. Toggle on the Lock Profile Edits checkbox to disable edits in the Exhibitor Portal.

How to Add Support Details, Welcome Text, and Instructions

Support Details, Welcome Text, and Instructions can be shared with Exhibitors under the General section.

Support Details Support Details offer Exhibitors helpful information and a point of contact for assistance. When this section is populated, a help button appears in the bottom-left corner of the Exhibitor Portal, allowing users to easily access and review the provided details.
Welcome Text Text entered in this field will appear on the Information page of the Exhibitor Portal. 

Event Administrators can add personal instructions for each Exhibitor. These instructions will appear for the Exhibitor on the Information page.

  1. From the Event Dashboard, navigate to Exhibitors > Exhibitors
  2. Select the Exhibitor you wish to adjust from the list
  3. Scroll down to Basic Details
  4. Enter your instructions under the Instructions field,
  5. Select Save Changes

How to View the Exhibitor Portal as an Event Admin

Event Administrators can access the Exhibitor Portal at any time in the Event Dashboard.

  1. At the top of the Event Dashboard, select Event Portals > Exhibitor Portal

They will now be redirected to the Exhibitor Portal. Event Administrators or managers overseeing multiple Exhibitors can use the dropdown menu to switch between different Exhibitor profiles.
