How can I configure Early Bird pricing for my tickets?
A common registration consideration is Early Bird pricing, which allows registrants to register before a certain date to benefit from reduced rates.
An Early Bird pricing scheme can be implemented for your PheedLoop events by creating tickets for each pricing level, which typically includes an early bird rate and a regular rate.
Contents
Step 1: Create Your Tickets
The first step is to create a ticket for each pricing level, which most often includes one early bird ticket and one regular ticket.
- From the Event Dashboard, navigate to Registration > Tickets and above the Tickets table, select Create
- Follow our Creating your Registration Ticket Types article to set up your ticket
- At this point, we will need to distinguish between our early bird and normal tickets. Event organizers typically do this by including some reference to the ticket’s early bird status under Name field.
- List the prices for the early bird and normal tickets under the Price field.
Step 2: Set Your Ticket Availability Windows
The next step is to set what date/time windows you’d like your tickets to be available for.
- From the Event Dashboard, navigate to Registration > Tickets and select the ticket you have designated as the Early Bird Ticket
- Scroll down to Other Details
- Under the Ticket Sale Start Date field, enter the date for the ticket to become available
- Under the Ticket Sale End Date field, enter the date for the ticket to be no longer available
- Under the Start Time field, enter the time for the ticket to be become available
- Under the End Time field, enter the time for the ticket to be no longer available
- Please note, the times inputted under the Start Time and End Time fields will follow the event time zone set under General > Details > Dates and Location > Timezone.
- Select Save Changes
Repeat the same steps above for your regular ticket. Ensure that the window for the regular ticket price is set after your early bird ticket.
Once activated, tickets will only be visible and available for purchase in the registration flow within their set date/time windows. Once the time set for the early bird ticket passes, this ticket will no longer be available for purchase and instead, the regularly priced ticket will replace it.
Conclusion
Implementing Early Bird pricing for your event is a great way to incentivize early registrations and manage ticket sales effectively. By creating separate tickets for each pricing level and setting their availability windows, you can ensure that registrants can access the appropriate ticket type based on the defined timeline. With this setup, Early Bird tickets will automatically transition to regular-priced tickets, streamlining the registration process for both organizers and attendees.
