How to Download Registration Data: Registrant and Ticket Purchase Information

PheedLoop offers a robust reporting system that ensures you are able to access your event data at all times. 

To navigate to PheedLoop’s reporting functionality:

  1. From the Event Dashboard, navigate to Data & Reports > Custom Reports

  1. Above the Custom Reports table, select Create 

From here, you can use the Report Types field to select what type of information you would like to pull. Depending on the Report Type you use, additional fields may appear to further enhance the reporting data. 

This article will focus on how to generate Registration and Ticketing-specific Report Types.

Registration Data Report

The Registration Report will generate all registrant-specific information and is best used to identify the number of Registration Orders for your event as well as the information collected for each Registration Order (including Category Forms). The Registration Report will have a line for each unique Registration Order. 

  • Report Type: Registrations
  • Recommended Fields: Payment Method, Registration ID, Purchases, Form, Invoice/Receipt, Charge IDs, Status, Payment Total
  • Use Case: Whether you need attendee information, payment data regarding their ticket purchases, or registration information specifically for one category of stakeholder the registration report has the capability to extract this. 

This is the best report to use when reconciling registrations and finances related to registrations. The Charge ID represents the unique identifier that you can use to cross reference payments within your payment processor. This report will also contain the answers to the questions asked in the custom form associated with the registration category.

Use the Registration Category field to select one or more categories for the report. Leave the Registration Category field blank to not filter results. Fill out the Start Date and End Date fields to isolate ticket purchases over a particular length of time.

Ticket Purchase Data Report

The Ticket Purchases Report will generate all information for your Ticket Purchases and it is best used to identify the number of unique Ticket Purchases for your event as well as the information collected for each Ticket (including Ticket Forms).The Ticket Purchases Report will have a line item for each unique Ticket Purchase. 

  • Report Type: Ticket Purchases
  • Recommended Fields: Purchase ID, Ticket Holder, Ticket Code, Guest Purchase, Ticket Sub Categories, Attendee - Code, Form
  • Use Case: This report is best used if you are looking to see all of your ticket holders in one single report. You can also use this report to see the individual answers to a ticket form

Use the Tickets field to select one or more tickets to include in the report. Leave this field blank to include all tickets. Fill out the Start Date and End Date fields to isolate ticket purchases over a particular length of time.

How to Generate Responses to Custom Registration Questions

As you may recall, PheedLoop supports the functionality to collect custom information during the Registration process by using Category Forms and Ticket Forms. 

How to Generate Responses for Registration Category Forms

  1. From the Event Dashboard, navigate to Data & Reports > Custom Reports

  1. Above the Custom Reports table, select Create 

  1. Under the Report Type field, select Registrations

  1. Under the Fields field, include Form along with any other necessary fields for your report

  1. Under the Registration Category field, select categories to restrict the report to or leave blank to not filter results

  1. Under the Start Date field, select the date you wish to include information from
    1. Data generated before this date will not be included.

  1. Under the End Date field, select the date you wish to stop receiving information
    1. Data generated after this date will not be included.

  1. Select Save Changes

The report will now generate and display information for all registrations for your event along with information from any fields added in the report.

How to Generate Responses for Registration Ticket Forms

  1. From the Event Dashboard, navigate to Data & Reports > Custom Reports

  1. Above the Custom Reports table, select Create 

  1. Under the Report Type field, select Ticket Purchases

  1. Under the Fields field, include Form along with any other necessary fields for your report

  1. Under the Tickets field, select categories to restrict the report to or leave blank to not filter results

  1. Under the Start Date field, select the date you wish to include information from
    1. Data generated before this date will not be included.

  1. Under the End Date field, select the date you wish to stop receiving information
    1. Data generated after this date will not be included.

  1. Select Save Changes

The report will now generate and display information for all ticket purchases for your event along with information from any fields added in the report.
